From Written Enquiry to Controlled Pre-Assessment

The IGSB Evidence Route provides a controlled written process for examining whether governance arrangements can be evidenced within a defined organisational, technology or AI-enabled context.

The route may involve evidence mapping, evidence structuring, readiness observation and a separately authorised controlled pre-assessment.

Not every enquiry proceeds through every stage.

A Controlled Route for Governance Evidence

Governance evidence may be incomplete, distributed across multiple functions, inconsistently attributed or difficult to trace to defined decisions and controls. The Evidence Route provides a structured process for identifying the relevant evidence question, defining scope, organising submitted information and determining whether further written review is appropriate. Progression is not automatic. IGSB considers the enquiry, available evidence, defined system or use case, institutional capacity and applicable boundaries at each stage.

Beginning the Evidence Route

Each stage below is structured to support consistent, evidence-led review, regardless of organisation size, sector or jurisdiction.

Written Enquiry

An organisation begins by submitting a written enquiry identifying the relevant organisation, AI-enabled system, vendor platform, internal use case or operational technology environment. The enquiry should briefly explain the governance evidence question, the system or activity in scope, the reason the evidence position is being examined, and the intended internal or external use of any resulting written output. Do not submit confidential, privileged, personal or operationally sensitive evidence at initial contact.

Intake, Scope and Evidence Request

IGSB reviews the written enquiry to determine whether the matter falls within the G-Series Governance Framework and whether a controlled written route is appropriate. Where required, IGSB may issue a written evidence request identifying the documentary information needed to consider the defined evidence question. An evidence request does not constitute acceptance into pre-assessment or any later stage.

AI Governance Evidence Gap Map

The AI Governance Evidence Gap Map provides a structured record of the evidence supplied against defined governance questions. It identifies areas where information is not submitted, not evidenced, partially evidenced, or evidenced within submitted information. The Gap Map does not provide certification, assurance, legal advice, regulatory approval or confirmation of compliance.

These stages produce the structured written instruments IGSB uses to consider an evidence position before any pre-assessment eligibility question arises.

G-Series AI Governance Evidence Passport

The Governance Evidence Passport provides a controlled evidence register for a defined organisation, system, use case or technology environment. It may record evidence sources, document ownership, governance relevance, review status, traceability and identified gaps. The Passport is an evidence-organisation and traceability instrument. It does not certify that governance arrangements are legally compliant, technically effective, safe, approved or suitable for use.

G3 Readiness Snapshot

The G3 Readiness Snapshot provides a limited written observation of the governance evidence position within the agreed scope and submitted information. It may identify areas of stronger evidence, material gaps, unclear ownership, insufficient traceability and matters requiring further documentary support. A Readiness Snapshot does not guarantee progression to pre-assessment.

Pre-Assessment Eligibility Determination

IGSB separately determines whether a matter is eligible to proceed toward controlled pre-assessment. Eligibility may depend on the clarity of scope, the relevance and sufficiency of submitted evidence, the defined system or use case, the maturity of governance arrangements, the organisation's ability to support a written evidence process, institutional capacity, and conflicts, independence or boundary considerations. Eligibility does not constitute a certification decision, assurance conclusion or confirmation that the organisation meets a G-Series standard.

Engagement and Pre-Assessment

The final stages define how eligibility is confirmed and how a controlled pre-assessment proceeds once a written engagement has been accepted.

Written Engagement and Acceptance

Where eligibility is confirmed, IGSB may issue a written engagement defining the agreed scope, the applicable G-Series domains, evidence-submission requirements, written correspondence arrangements, review boundaries, expected outputs, fees and payment terms, and confidentiality and evidence-handling controls. No controlled pre-assessment begins until the written engagement has been accepted.

Controlled Pre-Assessment

A controlled pre-assessment provides a structured review of submitted governance evidence against defined G-Series domains. It may include a high-level evidence scan, evidence mapping, a gap register, observations on accountability, oversight and traceability, an institutional summary, and defined matters requiring further evidence. A controlled pre-assessment does not issue certification and does not confirm legal compliance, regulatory compliance, technical safety, operational effectiveness or audit assurance.

Current Institutional Boundaries

IGSB does not presently issue certification, accreditation, regulatory approval, legal opinions, audit assurance or confirmation of compliance.

IGSB does not provide implementation or remediation consultancy as part of its evidence classifications or controlled written assessment outputs.

Any future certification activity would require separately established governance, independence, decision-control and quality-assurance arrangements. It must not be presented as a current service or operating capability.

How Evidence Positions Are Recorded

IGSB uses four controlled classifications:

Not submitted — information required for the defined evidence question has not been provided.

Not evidenced — submitted information does not evidence the relevant governance requirement or control.

Partially evidenced — submitted information provides some relevant evidence, but material elements remain incomplete, unclear or insufficiently traceable.

Evidenced within submitted information — the relevant governance requirement or control is evidenced within the material reviewed.
